Primary Purpose:
Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff.
Qualifications:
Education/Certification:
High School diploma or GED
Special Knowledge/Skills:
Proficient keyboarding, word processing, and file maintenance skills
Effective organizational, communication, and interpersonal skills
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Knowledge of basic accounting principals
Minimum Experience
One to three years of secretarial experience, preferably in public education environment or skills listed above acquired through education or other work experience.
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Maintain records retention, assign numbers and categorize boxes and keep logs current. This includes records in vault.
- Monitor supplies, place orders, and maintain supply room
- Maintain vehicle titles, organize and update as needed.
- Assist Assistant Superintendent in handling of transportation reports, purchase orders, statements, newspaper ads, type reports and letters. Arrange travel, assist with job fairs, and Statewide (STAAR) testing
- Assist Facilities Director in handling of maintenance bids, newspaper ads, type purchase orders.
- Maintain student/athletic insurance files, policies, claim forms, and correspondence
- Responsible for processing of returned checks
- LOCAL Football/Basketball Passes for Staff and Community
- Assist with reservations of district facilities.
Reception and Phones
- Receive incoming calls, take reliable messages, and route to appropriate staff.
- Greet public and respond to routine inquiries from staff and public in a kind and professional manner
Files
- Maintain physical and computerized files
Accounting and Inventory
- Responsible for all money deposited, and accounts payables for the Activity fund, this includes keeping track of scholarships awarded, and monthly reconciliations.
- Football and basketball, order tickets, ticket sales, news releases. Prepare cash box, reconcile, and deposit monies. Official pay sheets and Arbiter.
- Maintain records, pay invoices, handle deposits from various money-making projects
- Assist with payment of game workers and officials.
- Scholarships—M.O.S.T. and Administration/School Board
- Vehicle Registrations/Titles
- Assist with Accounts Payable, Payroll, and Personnel, as needed
Other
- Contact and report problems with copiers to appropriate person/company
- Maintain confidentiality.
- Other duties as assigned.
